Responsibilities: Reporting to the Director of Recreation, the Associate Director is responsible for the operation and management of the Aquatic and Fitness Center, Recreation and Athletic Complex ( RAC ), Skyline Fitness Center and Outdoor Venues (four playing fields, two outdoor basketball courts, eight tennis court complex, and Pavilion located on West Campus). The incumbent is also responsible for organizing, managing, and evaluating facility policies and procedures, staff, special events, maintenance schedules, improvements, renovation projects, budgets, and equipment purchases. Duties include: Personnel Management: Develop and implement an approved staffing plan; and recruit, select, train, supervise, and evaluate staff in accordance with all university guidelines;Assimilate and disseminate a comprehensive body of information to employed staff to ensure effective team functioning, employee development, and achievement of performance standards; andProvide leadership, mentoring and training to all staff. Facility Management: Coordinate the operation of all facilities, to include the Recreation and Athletic Complex, Aquatic and Fitness Center, Skyline Fitness Center, West Campus, and RAC Field; develop facility guidelines, policies and procedures related to all services and programming; establish criteria for creating new facilities in keeping with student, faculty and staff interest and current trends; and maintain a wide variety of facility choices to meet the needs of a diverse university community;Manage facility staffing with full-time and part-time personnel;Provide safe and secure facilities by implementing preventative maintenance schedules and conducting daily facility inspections with immediate corrective actions to issues to minimize down time;Maintain a detailed facility maintenance process to track maintenance work orders and scheduled projects, working into the long range plan items from the Facilities Condition Assessment deficiency cost table;Continue to evaluate facilities for efficiency and future needs by performing facility condition assessments; and maintain a schedule for facility equipment replacement, as well as researching long-range expansion;Coordinate assessment for Mason Recreation facilities, programs and services; develop evaluation tools to assess recreation facilities and services and provide regular feedback to staff; and coordinate data and analysis for recreation reports;Assist the Assistant Director, Marketing with marketing facilities through Mason Recreation’s Web site and social media; andWork closely with Intercollegiate Athletics, Department of Recreation, Health and Tourism, and Club and Intramural Sports for team and class facility schedules. Event Management: Collaborate with staff to develop future program plans to coincide with improved service levels based on defined marketing strategies, and ensure that effective delivery systems are in place to facilitate programs;Collaborate with other campus groups to enhance the educational and recreation opportunities for Mason students, and work closely with student organizations and faculty to enhance campus educational and leadership opportunities; andCoordinate and manage special events according to department policy. Fiscal Management: Prepare and monitor an annual budget as it pertains to the operations of Mason Recreation facilities;Provide monthly reports to ensure adequate control and efficient use of financial resources;Prepare and analyze daily reports, participation statistics, payroll, and all financial transactions, maintaining accountability; and maintain cost analysis and track program performance; andCoordinate the purchase of equipment, review specifications, prepare requisitions, confirm accuracy of invoices, and serve as liaison to vendors and
